Supporting a Charity With a Practical Cloud Move
Disability Sport Yorkshire, based in Wakefield, needed to move from Google Workspace to Microsoft 365 Nonprofit. For any organisation, a cloud migration has to protect communication, preserve important data and avoid creating unnecessary disruption. For a charity, that matters even more because staff time and operational capacity need to stay focused on service delivery.

About Disability Sport Yorkshire
Disability Sport Yorkshire is a Wakefield-based charity working to improve the health, wellbeing and quality of life of disabled people across Yorkshire and The Humber. The charity provides opportunities for disabled people to get involved with sport, physical activity, recreation and sporting organisations.
Its work is built around inclusion: helping disabled people be more active if they choose, improving access to sport and recreation, and supporting recognition within the wider sport sector. That made continuity important. Technology needed to support the organisation in the background, not become a barrier to its work.
The Brief: Move From Google Workspace to Microsoft 365
The requirement was clear: migrate the charity from Google Workspace into Microsoft 365 Nonprofit and make the transition manageable for the people using it. That meant planning around mail flow, identity, licensing, data movement and user access rather than treating the project as a simple switch from one inbox to another.
Microsoft 365 Nonprofit gives eligible charities access to familiar tools such as Outlook, Exchange Online, OneDrive, SharePoint and Teams. The value comes from bringing communication and collaboration into a platform that many users already understand, with room to add security, governance and better file management over time.
Planning the Migration
The first stage was to understand the existing Google Workspace setup and prepare the Microsoft 365 tenant so the move had a clean landing point. Migration planning covered accounts, domains, mailbox readiness, DNS requirements and the order of work needed to reduce disruption.
Good migration work is often invisible when it is done well. Users should not need to understand every technical step behind MX record changes, mailbox mapping, domain verification or client configuration. They should see a clear route from the old platform to the new one, with support available when something needs attention.
Protecting Email Continuity
Email continuity was a key part of the project. Charity teams rely on email for volunteers, partners, funders, suppliers and day-to-day coordination, so the migration needed to keep communication flowing.
The work included preparing the Microsoft 365 mail environment, checking user access, moving mailbox content and managing the cutover from Google Workspace to Exchange Online. The DNS change was handled carefully so mail would route to the new platform once the Microsoft 365 side was ready.
Collaboration Ready for the Next Stage
The migration also created a better foundation for collaboration. Microsoft 365 gives the charity a route into shared documents, Teams-based communication, structured file storage and more consistent access management.
That does not mean every feature has to be rolled out at once. In many migrations, the sensible approach is to move the core services cleanly first, then improve file structures, security policies, shared mailboxes, groups and Teams usage once users are settled.

The charity gained a more joined-up platform while retaining the operational focus it needs to continue its work across Yorkshire and The Humber.
